Keep reference sets and workflows inside your workspace

Last updated: October 26, 2026

Stop your workspace's reference sets and workflows from being made public or linked into other workspaces.

Before you start

  • You need Manage workspace settings, which the Admin role has.

  • Sharing is set per workspace only. Projects, groups and members do not set it.

Steps

  1. Open Settings and select Sharing under AI Controls.

  2. Set Reference set sharing to Off, so no reference set can be made public or linked into another workspace.

  3. Set Workflow sharing to Off, so workflows stay inside too.

  4. Select Save.

Result

Nobody in the workspace can make one of its reference sets or workflows public, or link it into another workspace. Teammates inside the workspace keep using them as before. Child workspaces follow the same setting unless they set their own; select the lock on a row to stop them.

Someone who tries to share a workflow sees Your workspace admin has turned off sharing workflows outside the workspace.

Production tips

  • Turn sharing off for client and unannounced work. A reference set trained on unreleased art, or a workflow that encodes a client's pipeline, should not leave the workspace by accident.

  • Set it once at the top of a studio. In a parent workspace, turn sharing off and lock it to keep every game's work inside the studio.

  • Sharing still needs permission. With sharing on, a member also needs a role that lets them export reference sets or workflows. See Roles and permissions.

  • What is already shared stays shared. Turning sharing off stops new sharing. Make a public reference set or workflow private again, or unlink it, from the item itself.

If something goes wrong

  • A teammate cannot make a workflow public. Workflow sharing is off for the workspace, or for a parent workspace that locked it.

  • The switches are greyed out. A parent workspace locked them (Locked by the ... workspace). Ask an admin of that workspace.
