Invite teammates and set their roles

Add teammates to your workspace by email and choose the role each one joins with, so everyone has the access their job needs from their first sign-in. Use the same page to change a role later or organize people into groups.

Before you start

  • You need a role that can manage workspace settings and members, such as Admin. Without it, Workspace Settings does not appear in the workspace menu.
  • If your workspace provisions members from an identity provider (SCIM), Invite Member is turned off and new members arrive from the provider instead.

Steps

  1. Open the workspace menu, choose Workspace Settings, then select Members under Team. The table lists everyone in the workspace with their Role, Status, Groups and Last activity.

  2. Click Invite Member. The Invite member dialog opens.

  3. In Email addresses, enter each teammate's work email. Separate several addresses with a comma, a semicolon or a space to invite them in one go.

  4. Open Role and choose the role they join with. It starts on Member; every address in the dialog gets the role you pick.

  5. Click Send invitation.

Result

Layer confirms with Invitation sent to and the address (or the number of invitations when you sent several), and each person receives an invitation email. They appear in the members table straight away with the role you chose, and you can change it at any time from the Role dropdown in their row.

Production tips

  • Start people on the narrowest role that works. Give contractors and outsourcing partners a non-admin role, and promote someone later from their row rather than inviting everyone as Admin.
  • Onboard a whole team at once. Paste a list of addresses copied from a spreadsheet or a chat; the field splits it into separate invitations. Very large lists go in batches; the dialog tells you when you have added too many.
  • Use groups for teams, not one-by-one roles. In Groups & Roles, give a group a role and a usage limit, then add people to it. Members whose role comes from a group show Group managed, and their role is changed on the group rather than in this table.
  • Keep two admins. Layer will not let the only admin change their own role. Promote a second person before anyone goes on leave or moves team.
  • Offboard in two stages. From a row's actions menu, Suspend member removes access while keeping the person on the roster; Remove member takes them off the workspace. Set the status filter to All members to see suspended people again.
  • Audit access regularly. Export CSV downloads the roster as currently filtered, which is useful for a quarterly access review.

If something goes wrong

  • An address is highlighted and the invitation will not send. It is not a valid email. Correct or remove it; the dialog says Remove or correct invalid email addresses.
  • Some invitations failed. Layer reports how many, and the dialog stays open with only the failed addresses in it. Check them and click Send invitation again.
  • Invite Member is greyed out. Your workspace's members are managed by your identity provider (SCIM). Add the person there.
  • You cannot change someone's role. Their role comes from a group (Group managed). Change the group's role, or remove them from the group.
