Create a custom role

Create a role that grants exactly what one job needs, such as a live ops artist who can generate and train styles but not touch billing, then give it to members and groups like any built-in role.
Before you start
- Custom roles are part of the Enterprise plan. On other plans, Groups & Roles shows a preview with Upgrade to Enterprise.
- You need the Manage roles permission, which the built-in Admin role has. Without it, you can see the roles but Create role does not appear.
Steps
Open the workspace menu, choose Workspace Settings, then select Groups & Roles under Team. All Roles lists every role you can give, marked Built-in or Custom.
Select Create role and enter a Role name that says what the job is, up to 64 characters.
Under Start from, pick the role closest to what you need. Its permissions are copied in as a starting point; the two roles stay independent afterwards. Choose No permissions to build the role up from nothing.
Under Permissions, tick what the job needs and clear what it does not. Type in Search permissions to find one by name or description, or use Select all on a category. Permissions that hand over the workspace, its members, its billing or its sign-in carry an Admin badge.
Select Create role.
Result
Layer confirms with Role created. and the role joins All Roles with a Custom badge and its permissions. A role holding any Admin-badged permission also shows Admin access. The role is now in every Role dropdown: give it to a person from their row on the Members page, or to a team from a group's Workspace role.
Production tips
- Name roles after jobs, not people. "Outsourcing Partner", "Live Ops Artist" and "External Reviewer" survive staff changes; a role named after a person does not.
- Customise a built-in role by duplicating it. Built-in roles cannot be edited. Open a built-in role's actions menu and choose Duplicate role, which opens a copy with the same permissions, then change the copy.
- Give roles to groups, not to people one by one. A group with a custom role and a usage limit onboards a whole team in one step, and members whose role comes from a group show Group managed on the Members page.
- Keep spend-heavy work in its own permissions. Train styles, Use realtime generation and Generate are separate, so you can let reviewers see work without spending Creative Units.
- Edits apply straight away. Changing a role's permissions with Edit role updates everyone who holds it the moment you select Update role, so review a role before you widen it.
- Retire a role with Archive role. Its holders keep their workspace access but lose what the role granted, and it can no longer be given. Archiving cannot be undone, so move people to their new role first.
- Define a role once for a studio with several workspaces. A custom role created in a parent workspace can be given in every workspace below it, where it opens read-only with View permissions. Edit it in the workspace that owns it.
If something goes wrong
- Create role is missing. You can manage workspace settings but not roles. Ask an Admin to create the role, or to give you a role with Manage roles.
- A role with that name already exists. Names are unique within a workspace, ignoring capitals. Choose another name, or edit the existing role.
- You cannot edit a role. It is built-in, or it belongs to a parent workspace. Duplicate it to make your own, or edit it where it was created.
- Someone lost access after a role change. Every role includes Access workspace, but the rest comes from the role's permissions. Check the role's permissions in All Roles, and check whether the person's role comes from a group.
