Adding Teammates to a Workspace & Managing Access

How to invite team members to your Layer workspace, manage roles and permissions, switch between workspaces, and troubleshoot common access issues.

Layer workspaces are shared environments where your team generates assets, trains models, and collaborates on sessions. This article covers how to invite teammates, manage their roles, and resolve the most common access issues.

How to invite teammates to your workspace

Only workspace Admins can invite new members. If you do not see the option to add members, check whether you have Admin access. If not, ask your workspace Admin to send the invite on your behalf.

To invite a teammate:

Click your workspace name or profile icon in the top-left corner of Layer.

Go to Settings > Members.

Click Add Member and enter the email address of the person you want to invite. You can paste multiple email addresses at once to batch invite.

Assign a role before sending the invite. See the roles table below for a breakdown of what each role can do.

The invited user will receive an email with a link to verify and join the workspace. Once they confirm, they will have access based on the role assigned.

There is no per-seat cost for adding members. Since Layer is usage-based, every member you add draws from the shared workspace CU balance rather than triggering an additional charge for their presence.

Roles and permissions

Roles control what each team member can see and do within the workspace. Assign the role that matches what you need the person to be able to do, as you can change roles at any time from Settings > Members.

All Artist permissions, plus manage folders and models.

Art Director

All Editor permissions, plus view the full generation history for the workspace.

Admin

Full workspace access including generation history, billing, team management, folders, and models.

Billing Admin

Can manage billing and team settings but cannot generate assets. This role does not consume CUs.

Assigning someone to a workspace does not affect their personal workspace or any other workspaces they belong to.

Managing existing members

Removing or suspending a member

To remove a member from your workspace, go to Settings > Members, find the user, and select Suspend. Suspending a user removes their access without deleting their account record, so you retain a history of previously invited members and can reactivate them later if needed.

Managing multiple members at once

To manage several users at the same time, select them from the Members table and use Bulk Actions to change their workspace assignment or reactivate suspended users in one step.

Switching between workspaces

Users who belong to more than one workspace can switch between them at any time using the profile icon in the top-left corner of Layer, or by going to File Browser > All Workspaces. If a user can only see their personal workspace and not your team workspace, they may not have been added correctly or their seat may have been suspended. See the troubleshooting section below.

Enterprise workspace access (Okta and SSO)

For Enterprise customers using Okta or SAML-based SSO, access is provisioned differently from standard workspaces. New users typically need to request access through your organisation's internal IT ticketing system or Okta app form before they appear in the Layer workspace.

Key things to know for enterprise access:

  • Access requests submitted through Okta are typically processed within 24 to 48 hours once approved by your internal IT or workspace admin.

  • If a user logs in through Okta and only sees their personal workspace rather than the enterprise workspace, their account may be pointing to the wrong workspace. They can check by clicking the three-dot menu to see if additional workspaces are listed. If the enterprise workspace is not visible, their access may need to be reassigned by your internal admin.

  • Enterprise seats are periodically audited for inactivity. Users who have been inactive for an extended period may find their seat has been suspended and will need to re-request access through the standard IT ticket process.

  • If a user has an existing personal Layer account using the same email as their enterprise account, they may need to log in via Okta specifically rather than the standard email login to reach the correct enterprise workspace.

Troubleshooting common access issues

I cannot see the Members tab or Add Member option

Only Admins can manage members. If you do not see this option, your role is likely set to Artist, Editor, or Art Director. Ask your workspace Admin to invite the person on your behalf or to upgrade your role if you need to manage members yourself.

The invited user did not receive their invite email

Ask the user to check their spam or junk folder first. If the email is not there, the Admin can remove the invite and resend it from Settings > Members. The user can also try navigating directly to app.layer.ai and signing in, as they may already be added to the workspace even if the email loop did not complete.

The user is stuck on the email verification screen

If a user clicks the verification link but keeps being returned to the same confirmation screen on a loop, they are likely already added to the workspace. They should try navigating directly to app.layer.ai and signing in without using the link from the invite email. If that does not work, the Admin can remove the user and resend the invite fresh.

The user logged in but can only see their personal workspace

This usually happens when the user signed up with the same email outside of the enterprise invite flow, or when their enterprise seat has been suspended. Ask them to click the three-dot menu or profile icon and check whether the team workspace appears as an option. If it does not appear, contact support with the user's email address and we will check their account status and workspace assignment.

A team member cannot see models or folders that others can see

Model and folder visibility can be affected by the user's role. Check their role in Settings > Members and confirm it matches what they need access to. For models specifically, workspace Admins also need to approve which models are available in the workspace. If a model is not appearing for a user, the workspace Admin may need to enable it.

Frequently Asked Questions

Does adding more members increase my subscription cost?

No. Layer is usage-based, so there is no per-seat charge. Adding members does not change your subscription cost. The only cost is the Creative Units consumed by what your team generates.

Can a user belong to more than one workspace?

Yes. Users can be invited to multiple workspaces and switch between them freely using the profile menu in the top-left corner of the app.

Can I change someone's role after they have already joined?

Yes. Admins can update any member's role at any time from Settings > Members. Role changes take effect immediately.

What is the difference between suspending and deleting a member?

Suspending a member removes their access while keeping a record of their membership history. There is no hard delete of a member from the workspace. If you need to permanently remove access, suspend the user and they will no longer be able to log in or generate assets in that workspace.

A suspended user needs to be reactivated. How do I do that?

Go to Settings > Members, find the suspended user, and use the reactivate option. If you cannot locate them, contact support with their email address and we will assist.

Our organisation uses Okta. How do new users get access?

New users need to request access through your organisation's Okta app form or internal IT ticketing system. Once approved, they will be provisioned and should have access within 24 to 48 hours. If access has not appeared after that window, contact your internal admin first, then reach out to Layer support if the issue persists.

Can I create more than one workspace?

Yes. Any user can create a team workspace from the bottom of the Layer app. Note that there is a limit of three workspace creations per day. Each workspace has its own CU balance, members, and settings.
